Insurances and Reimbursement

Olney Counseling is primarily a fee-for-service practice, or out-of-network provider.  Payment is expected at the time of service and a credit card on file is required.  Our center provides an easily accessible patient portal that completes a “superbill” that can be submitted to your insurance company for possible reimbursement.  Our office can assist you in determining if you are eligible for reimbursement; however, this is not a guarantee of repayment.

OCC does accept Medicare and all insurance billing will be submitted by our office.  Depending on your plan, you may be required to pay a co-pay with your on-file credit card.

Appointment Reminders and Cancellations

Our HIPAA-compliant system will automatically send you appointment reminders via email, text, and phone.

 
To cancel or reschedule an appointment, you may do so within 24 hours of your appointment at no charge.  Appointments that are cancelled with less than 24 hours’ notice will be charged a $150 fee.

Cancellation without 24 hours’ notice                        $150

Additional fees for letter writing, preparation of records, collaboration with schools, extended family, etc. that last longer than 15 minutes will be charged accordingly.   Further we will adjust the hourly rate for periods of less or more than one hour.  

Billing and Payment of Services

A credit card on file is required for all patients and payment is due at the time of service.  Our office will provide billing services for Medicare patients.  If your account has not been paid for more than 60 days and arrangements for payment have not been agreed upon, OCC has the option of using legal means to secure the payment. This may impact your ability to schedule future appointments. This may involve hiring a collection agency or going through small claims court. If such legal action is necessary, its costs will be included in the claim.  Effective January 1, 2024, all outstanding patient balances charge will be charged two percent (2%) per month until the total amount due has been paid in full.

Professional Records

The laws and standards of our profession require that we keep HIPAA-compliant treatment records.  You are entitled to a summary or copy of the records.  Please note: If your therapist believes that viewing the treatment records could cause emotional harm, ethically we cannot provide the actual notes but provide you a summary.  Patients will be charged $60/hour to produce the file and will be charged $250/hour for a summary of the file.
